HubSpot migration services
without the data loss
A drifted CRM. A half-built HubSpot portal. No CRM at all. Whatever your starting point, our HubSpot migration services move deal history and renewal records into HubSpot intact, and prove it before cutover.
What a HubSpot CRM migration service includes
A HubSpot CRM migration service moves your live revenue system into a HubSpot portal without losing the history your team works from.
Records, properties, activity history, and associations move first, contacts and deals stay linked, and custom objects like subscriptions or products are modeled properly instead of flattened into notes. Then the working layer: workflows rebuilt to your real process, reporting reconciled before anyone trusts it, integrations to billing and product tested end to end, and permissions set so the portal works day one.
We scope backwards from what has to work after go-live. A migration that moves every record and breaks the forecast has failed.
Built for your industry.
Every migration starts with the same three-stage method. The data model, integrations, and rollback plan are tuned to the way your business runs revenue.
HubSpot migration for manufacturing
ERP ties, BOM relationships, rep territories, and dealer hierarchies preserved. Rep territories, dealer hierarchies, and BOM relationships move with their associations intact, not flattened into notes. Built for the revenue team running alongside SAP, NetSuite, or Epicor.

AmbassadorWinning by DesignData migration vs portal migration vs replatforming
Built for RevOps leaders, VPs of Sales, COOs, and founders at mid-market Most mid-market teams need a portal migration. Record count looks like the hard part. It isn't. The real time sink: 40 to 80 workflows, the billing sync, and leadership's Monday dashboards.
companies who are replacing an outdated CRM, fixing a failed implementation, or adopting their first CRM.
Data migration
Records, history, and associations move into HubSpot. Workflows, integrations, and reporting stay where they are and keep running against their existing systems.
Portal migration
Everything above, + custom fields, portal settings, workflows, marketing assets, and integrations rebuilt inside HubSpot. Your old system goes read-only at cutover.
Replatforming
The full move. CRM, marketing automation, service, website, integrations, reporting, and team training, delivered as one program with one cutover date.
HubSpot migration services by Hub
Records, activities, deals, owners, and pipeline structure move with their full timeline. Deal stages are mapped so the forecast reconciles day one. Teams arrive from Salesforce, Pipedrive, or Keap. Quoting complexity is handled through CPQ implementation services.
Contact database, forms, landing pages, emails, lists, and campaign assets move as one set. Subscription types and consent records come across so you stay compliant through cutover. Migrations usually start from Marketo, Pardot, or Mailchimp.
Tickets, conversations, status history, SLA targets, and routing rules move with the context agents need to answer a customer without repeating themselves. Pipelines map to your real escalation path. Teams usually come from Zendesk or Freshdesk.
Website pages, blog posts, templates, forms, and redirects move as one set. Every URL gets a mapped 301 so rankings and inbound links survive. Traffic and conversion baselines get recorded before launch, then checked after go-live.
Where we migrate from
If your system is not on this list, send us the name and the record count. We have run migrations out of homegrown databases, ERPs, and one 19-tab spreadsheet.
What we recommend you leave behind
The portal you land in should be smaller than the one you left.
A migration is the one moment when deleting something is cheaper than keeping it. Everything you carry across has to be mapped, tested, validated, and then maintained for years.
So we mark things for retirement before we mark them for migration. Workflows that haven’t enrolled a record in 12 months. Contacts with no activity in 24 months and no marketing consent, which are also costing you money on every HubSpot tier. Custom properties that are filled in on under 5% of records and referenced by nothing. Duplicate contacts and companies, which we merge on a rule you approve rather than a rule we assume. Reports with no views in 90 days. Automation that nobody currently employed can explain the purpose of.
On a typical mid-market portal migration, this removes 30% to 60% of the custom properties and roughly half the workflows. The list is a recommendation, and you approve every line before we act on it. Anything you want kept, we keep, and we say what it will cost to maintain.
Why HubSpot migrations fail
We’ve recovered migrations that stalled at data mapping and rebuilt portals that went live and then went quiet. The pattern repeats.
What's broken
The systems were never connected. Revenue data lives in the CRM. Product usage and billing data live in the subscription platform and the warehouse. Nobody owns the join. So a HubSpot migration gets scoped as a records transfer, the records land, and the portal still cannot answer what a customer pays or uses.
How it feels day-to-day
The forecast doesn't match billed revenue. Two dashboards give two numbers for the same quarter. Nobody is sure what survived the last cutover, so reps keep a private spreadsheet as insurance. Finance asks for a record from three years ago, and the answer takes four days.
Why this is wrong
Revenue data and product data belong in one system. When they are split, every report is a manual reconciliation, and every handoff is a guess.

We began with a complicated Salesforce to HubSpot migration under a deadline. This group came together and helped us through it, took the time to customize for our needs, and taught the entire team how to use the new custom optimizations. We then expanded our partnership and they've accomplished everything they said they would — they have proven their worth and are now one of our closest partners.

Three stages. Each one ends in a signed document, so you always know what has been agreed and what has not.
the system
Auditing every object, workflow, and integration before scope is written.
Weeks 1-3. Current-state audit of every object, property, workflow, integration, and report. Written scope. Risk register with an owner per risk. Fixed price signed before build starts. No discovery invoices after this point.
the Blueprint
Mapping your data and getting the blueprint signed off.
Weeks 3-8. Field-by-field mapping document. Custom object design. Integration architecture for every sync point. Deduplication and cleanup rules. The blueprint is signed off by Sales, Ops, and Finance together, because those three groups discover different problems.
to Production
Executing a controlled migration with validation and support.
Weeks 8-24. Full portal build. Parallel migration test on production-scale data across the full record set. End-to-end integration test against live billing and product systems. Documented rollback plan. Sales trained before go-live. Then 30 days of live support with a named engineer.
What we sign before kickoff
Every HubSpot migration follows the same six commitments.
No cutover until validation is complete.
Your critical data is migrated accurately.
Every project includes a documented rollback plan.
Your team is trained before go-live.
Fixed scope and transparent pricing.
Honest recommendations if we're not the right partner.
Who does what
Extraction, mapping, and cleanup. Portal build, custom objects, and workflow rebuild. Integration work, parallel testing, and validation. The rollback plan and 30 days of support.
Access to source systems and credentials in week 1. Decisions on lifecycle and stage definitions. Sign-off on the mapping document and cleanup list. One owner, 5 to 8 hours weekly.
The platform itself, tier limits, and API behavior. Support tickets tied to native product defects. Everything about your data and process is on us.
How long a HubSpot migration takes
14 to 24 weeks from assessment to go-live. A single Hub with two integrations lands near 14. A full replatform across four Hubs lands near 24.
Record count sets the mapping work. Validation windows and load schedules are what actually scale with it.
Each sync point adds 1 to 2 weeks. It has to be tested against a live system, not a sandbox.
Records move as-is. Workflows and dashboards get rebuilt. 80 workflows takes longer than 12, regardless of record count.
Stage and field-ownership decisions are the most common delay. One named owner at 5 to 8 hours a week keeps the date.

We've helped companies recover from failed migrations and replace CRMs that never worked the way they should have.
We've recovered migrations that stalled at data mapping and rebuilt portals that went live and then went quiet. The problems are usually the same.
Historical data is lost
Contacts, activities, notes, attachments, and deal history do not arrive, and teams lose the context they sell from.
Integrations stop working
The connection to billing, product, support, or the ERP fails quietly after go-live. Nobody notices until finance closes the month.
Reports cannot be trusted
Dashboards return different numbers than the old system because fields were mapped by name instead of by meaning, and history was never validated.
Teams stop using the portal
When the new workflow is slower than the old habit, reps go back to spreadsheets and shared docs inside the first month.
Business processes break
Notifications, approvals, routing, and customer handoffs behave differently than expected, and workarounds harden into the process.
Adoption stalls
Without training and validation, HubSpot becomes another tab people avoid, and the portal you paid to build is used for contact storage.
90 days after a clean migration
A clean migration leaves every team with a system they can trust.
One source of truth
Revenue, product, and billing data sit on the same record. The Monday dashboard reflects the CRM, not a hand-derived spreadsheet, and every team works from the same quarter number.
Sales close faster
Context lives on the record instead of in someone's inbox. Reps stop chasing history before a call.
Clean handoff to operations
Defined stages and routing work without a Slack message. Nothing depends on someone remembering the process.
Finance reconciles
HubSpot and the billing system agree. Month-end close doesn't start with a manual export.
Customer Success has context
Usage, renewal date, and support history are on the record before the call starts.
Compliance is audit-ready
7+ years of deal, subscription, and usage history is queryable in one place.
What a HubSpot migration costs. Fixed scope. Fixed price. No surprises.

Integrations we rebuild during migration
We rebuild every sync point your revenue data depends on, not just the records.
The assessment maps what talks to what, in which direction, and which syncs nobody’s checked in a year. You keep that map whether or not you hire us. Custom integrations beyond standard syncs are scoped separately.
Doing it yourself, using HubSpot’s own service, or hiring a partner
Right call under 10,000 records, one Hub, no integrations beyond a calendar and email. HubSpot’s native import and free guides handle it. Budget two to four weeks.
Right call if your process already matches HubSpot’s standard model. Priced by tier. It won’t rebuild a billing sync, custom objects, or warehouse integrations, that’s outside HubSpot’s own product.
Right call when revenue and product data need to live in one system, integrations exceed three, or a failed cutover risks month-end close. That’s our work. If your situation matches the first two, we’ll tell you so on the call.
Answers to the questions we get every discovery call.
Can't find yours? Bring it to the assessment.
