Manual Quote Processing Bottleneck
FlexKey's sales team received vendor PDF quotes from multiple distributors — each with different formats and field layouts. Reps were manually extracting product names, SKUs, and pricing to enter into HubSpot, a process that was time-consuming, error-prone, and completely unscalable.
Disconnected Marketing & Project Management
The marketing team had no structured presence in the CRM, and project management was being handled in ClickUp, outside of any visibility into the sales pipeline. There was no unified view of the customer lifecycle.
Website Not Connected to CRM
FlexKey's WordPress website operated independently of HubSpot. Trade show leads, inbound form submissions, and website visitor data were not flowing into the CRM in any structured or automated way.

Full Salesforce to HubSpot Migration
Elefante executed a complete migration from Salesforce to HubSpot, covering 7,976 files and attachments, Chatter messages and comments, all opportunity, contact, and company records, and historical assignments. Pipelines were cleaned up and restructured, and all records were properly reassigned within the new environment.
Custom AI-Powered PDF Quote Automation
Elefante's engineering team built a fully automated quote processing pipeline to eliminate the manual data entry bottleneck. The solution monitors a Google Drive folder for incoming vendor PDFs. When a quote file is uploaded, a Google Apps Script automation triggers, uses the OpenAI API to intelligently extract structured product data (SKU, description, unit price, unit cost, quantity, and terms) from any vendor format, and syncs that data directly to HubSpot as Products and Line Items on the associated Deal. The entire process — from file upload to HubSpot update — completes in under seven minutes.
HubSpot Project Management Implementation
Elefante designed and implemented a project management process inside HubSpot, enabling FlexKey's team to track engagements, tasks, and project status in the same platform as their sales pipeline — eliminating the need for ClickUp and providing unified visibility across sales and delivery.
Marketing Hub Onboarding and Activation
The marketing team was fully onboarded onto HubSpot Marketing Hub. Email campaigns were configured to send from the FlexKey brand (marketing@flexkey.tech), trade show contact import templates were created, and HubSpot was established as the central platform for all marketing execution and reporting.
Website Integration and Migration to HubSpot Content Hub
FlexKey's WordPress site was integrated with HubSpot, connecting inbound leads and chatbot interactions to the CRM. Elefante then scoped and initiated a full migration of the website to HubSpot Content Hub, creating a unified digital and sales infrastructure.
